As a boutique agency, our small team gives each client personal care and attention, handholding them through the process with patience and pro-activeness.

 

 

The Role

We’re looking for a freelancer who’s great with people and operations – part client manager, part event planner.

You’ll turn retreat ideas into reality: planning activities, meals, and travel while keeping clients, hotels, and providers aligned.

You’ll take full ownership of smaller (30- guests) or larger retreats (30+ guests) – from confirmation to completion – managing the budget, client relationship and operations with minimal input from the founder.

This is a flexible, project-based role, where you’ll lead your own retreats with support from the LáFora team when needed. The role is open for a more junior and senior position, depending on experience. The main difference between the two is the size of retreat and the responsability (i.e. full autonomy vs. more support from the team) and will depend on how much experience you have organising events for groups. 

 

What You’ll Do

Before the Retreat

  • Project Management: Taking the lead on the deadlines and strategy for the successful planning of the company retreat. 
  • Key account management: Be the main contact for the client once their retreat is confirmed guiding them pro-actively through the process.
  • Experience design: choosing, testing and suggesting the best activities, food and experiences. Collecting quotes and negotiating agency rates whilst always ensuring our quality standards and alignment with the client’s goals.
  • Logistics: Booking and managing transfer timings, work logistics, room setups, workshop material and AV, welcome kits, restaurants and meal choices, merchandise etc.
  • Communication: ensuring hotel, providers and clients are happy and up to date on data, timings, dietary needs and rooming lists.
  • Budget management: (SeniorKeeping oversight and calculating changes to budgets (add-ons and cancellations), receiving and sending invoices and staying on top of payments and deposits. (Junior) Receiving and sending invoices and staying on top of payments. 

During the Retreat

  • Being on top of airport transfers and welcoming the group in person on arrival day.
  • Handling on-site details and fixing problems quickly when they come up.
  • Coordinate drivers, meals, and activities so everything stays on time.
  • Be available for questions and last-minute changes.
  • Keep the energy calm and positive, even when things get busy.


After the Retreat

  • Collect feedback from the client.
  • Finalize all payments and budgets.
  • Share key learnings with the team.
 

Who You Are

  • Highly organized and detail-oriented
  • Friendly and confident with great communication and social skills.
  • Proven track record of working in event management, hospitality, travel- or retreat coordination.
  • Experience with budget management and negotiations (Senior). 
  • Speaks and writes perfect English
  • Based in Portugal, Spain, Italy or other European countries.
  • Experience working independently and remotely in the past.
  • Happy to travel when needed for on-site support or site inspections (or manage a local host).
